What’s the role?

The Philanthropy & Engagement Team is seeking a candidate to provide administrative and programmatic support for the Best of Bloomberg employee engagement program in Princeton. If you thrive in a fast-paced environment and can balance the demands of high-energy event management with the thorough execution of administrative support, we would love to speak with you!

You will be highly skilled in juggling multiple tasks and priorities, extremely organized, and have experience in all phases of event production. You will bring a strong attention to detail and great relationship management skills. You excel in a rapidly changing environment, where priorities may shift quickly. Under pressure and deadlines, you can remain calm and make quick, reliable decisions. You are always thinking three steps ahead to anticipate and prevent obstacles before they are met. Every day will bring a new challenge!

You will be responsible for managing a wide range of programs and processes. You will exhibit efficiency in performing all of the administrative needs of the team’s programs, including but not limited to: transportation reservations, scheduling and calendar maintenance, creating documentation, and managing budgets and billing. You will display strong attention to detail in organizing numerous events per week, from planning phases through to production and on-site staffing. Your high energy and strong communication skills and integrity will enable you to host and facilitate a variety of programs, both large and small, on and off site. You are able to commit frequent night and weekend hours to bring these engagement opportunities to employees. You will maintain on-going correspondence with program stakeholders, including internal employee participants, internal Bloomberg partners, and external nonprofit partners.

We’ll trust you with:

  • Overseeing all general administrative tasks for the Princeton team including scheduling, transportation reservations, receipts / billing, tracking supply inventory and managing shipments of new orders, etc.
  • All phases of event planning and execution, for both small-scale and large-scale events
  • Creating and managing program calendars for all employee engagement events (BOB, BHOT, Startup, Drives / Campaigns)
  • Creating all documentation related to service programs –folders, files, spreadsheets, photos, etc
  • Managing volunteer recruitment, training and tracking
  • Relationship management and ongoing written / verbal correspondence with nonprofit partners
  • Written, verbal and in-person communication employee program participants
  • Becoming well-versed in the Philanthropy team functions including BOB ; Overseeing content on BOB including event descriptions, employee registrations, employee communications
  • Collaborating with other business units (Events, Marketing, Facilities, Diversity & Inclusion, etc) on campaigns, events and programs frequently
  • Monitoring and responding to employee inquiries

You’ll need to have:

  • Strong event planning skills /experience and a solid understanding of event production
  • Organization and very strong attention to detail is a must
  • Ability to multi-task and juggle multiple overlapping program schedules on an on-going basis
  • Strong written and verbal communication and outreach skills
  • Ability to work flexibly, attending events on the evenings and weekends when required
  • Strong presentation skills and ability to host group trainings, info sessions, large meetings, etc.
  • Discretion when dealing with sensitive materials
  • Ability to quickly learn new concepts and programs
  • Positive and outgoing demeanor
  • Experience with nonprofits a plus
  • Experience with education programs a plus
