Workplace Operations & Supply Chain, through our services and applications, we are dedicated to providing an employee experience that drives innovation, collaboration, productivity, and transparency. Our Global Employee Operations Team is central in this effort by providing platinum support to nearly 21,000 employees, clients and visitors in more than 170 state of the art offices around the world.

We are highly detail-focused and constantly looking for ways that we can improve our offices and enhance our customer experience. As a one-stop-shop for all manner of inquiries, we collaborate with a multitude of internal departments on a global level to deliver fast and effective solutions.

The Role:

Bloomberg’s Workplace Operations & Supply Chain team is seeking an enthusiastic and passionate intern who will create a welcoming and professional experience in keeping with the company culture and brand during a 6 weeks summer internship, starting end of July 2023.

The experience begins even before our customers physically arrive, and we need someone who is confident and comfortable to engage with Employees and Guests, creating a memorable touchpoint, and be able to provide fast and effective solutions while ensuring a high level of customer satisfaction.

As an intern, you will be an integral part of a cross-functional team – Hospitality, Facilities, Supply Chain, and others – interacting with internal and external customers and other vendors. It will be an opportunity for you to discover, design and deliver employee journeys and create moments that matter.

We'll trust you to:

  • Ensure that our team are at the Front Desk to welcome customers from 08:00-18:00, (Shift A: 07:45-16:45, Shift B: 09:00-18:00) - five days a week - Monday to Friday (excluding public holidays).
  • Update and professionally present concierge style information about the workplace, building and surroundings to be able to support the needs of our customers
  • Support a multitude of varying types of on-site events, with tasks such as coordinating event venue set up and catering, pre-registration and printing of guest badges,
  • Engage and collaborate with key stakeholders during a daily floor walk & talk, ensuring the space is clean and functioning so Employees can be their most productive
  • Support the Facilities teams with related Helpdesk ad-hoc tasks for example: extending aircon requests for events, preparing customer facing signage, coordinating desk allocations…etc.
  • Supporting the team in providing information/data for reports

You’ll need:

  • Diploma or above in Hospitality/Hotel Management
  • To be currently enrolled at university with a graduation date between Dec 2023 and Summer 2024
  • To be available for a 6 weeks summer internship from 31 Jul – 8 Sep 2023, and for full-time employment by Aug 2024
  • Business proficiency and fluency in English & Japanese
  • Recent experience in client facing or customer service positions. (example: through school, work, internship or extracurricular activities)
  • Awareness of data management, privacy and information security
  • Ability to work independently and as part of a larger regional team
  • Ability to multi-task
  • A customer service and solution-focused mindset with a high degree of interpersonal skills to deal exceptionally with internal/external client’s needs
  • Ability to communicate effectively and articulate thought process clearly
  • Proficiency in Microsoft Office, demonstrated through school projects or work experience
